Deleting Mail from the Server

If you save mail on the server, it is important to delete it periodically. Otherwise it will build up on the server, which can cause serious problems for your site and email. 

This is especially important if you have your email account set up to forward to your mailbox on our server as well as to your Internet Service Provider (ISP) email address. In this case, you may be checking your email directly from your ISP and not even realize that mail is piling up on your domain.

There are three ways you can delete old mail. If you are not an advanced user, we recommend using the WebMail method.

A) WebMail

  1. Go to WebMail, our browser-based email utility available at your_domain.com/mail (where "your_domain" is your own domain name). 
  2. Log in using your email account's name and its password. 
  3. Review your mail on the server and delete anything you no longer need. 
  4. Log out to make the changes permanent.
  5. Repeat for any other email accounts you have set up at your_domain.com.

 
B) Your Regular Email Program

  1. Configure your email program to pull mail from our server instead of from your ISP. 
  2. Log in to your email account.  Your mail will be downloaded to your hard drive.
  3. Repeat for any other email accounts you have set up.

 
C) FTP

  1. FTP to your account.
  2. Go to the directory called your_domain-mail.
  3. Delete the mailbox you want to clear out. All old mail will be deleted.
  4. The next time someone sends mail to that mailbox, the server will automatically re-create it.
     

FAQ

How is my email account configured?
To find out, log in to the Mail Manager in your Control Panel. You can log into your Control Panel by visiting your_domain.com/menu (where "your_domain" is your own domain name).

What is my email account's user name and password?
If your email address is you@your_domain.com, your email account's name is simply "you". Your email account's password is the one you designated when you set up your email account. This is not the same as the password for your Control Panel. If you do not remember your email account's password, you can re-set it through the Mail Manager in your Control Panel.

But I want to keep my old email.
You can keep your old email on your hard drive. If you have previously downloaded the mail into your email program (such as Outlook Express or Eudora), you should have any mail you have saved on your hard drive. Deleting it on our server will not affect the mail saved on your computer.

 
Keep Your Email from Building Up in the Future

So that mail doesn't build up in the future, we recommend that you decide on a way to handle this mail. 

If you always have your email forwarded to your ISP email address and never read it on the server....
Using Mail Manager in your Control Panel, change the settings on your email account so that mail is no longer saved on the server. 

If you want to be able to use WebMail to read your email and also want it forwarded to your ISP....
From WebMail, periodically delete the obsolete messages in your mailbox.

If you want to be able to check your mail from multiple computers....
If your email program allows you to delete mail from the server after X number of days, set up this feature on all the computers you use. If not, periodically log into WebMail and delete the obsolete messages in your mailbox.

If you want to pull the mail off the server into your regular email program....
Set up your email program to pull your mail off the server so that it doesn't build up. This is usually the default setting, usually found under Settings or Options. Check the Help section of your email program for specific instructions.
